DescriptionJob Summary Performs all requisite preparations needed for coordination of the Craniofacial Clinic and monthly reporting of services.

Manages the preparation of clinic and clinic flow.

Functions as the South Florida Regional Coordinator in developing a Regional Family Network and professional educational network.

Assists in developing a regional family network with the parent of a child with a craniofacial abnormality or with a qualified professional to serve as coordinator.

Minimum Job Requirements: Bilingual (English/Spanish) required 2 - 3 years of Administrative Assistant experience required QualificationsJob Specific Duties: Coordinates plan of care reports, compiles Electronic Health Record reports, and consolidates clinic notes.

F: Daily/ T: 1 hour/ R: Individual Accountable to complete CMS reporting by clinic type (craniofacial) for physician review of CMS quarterly statistics on Quality Indicators for Craniofacial patients.

F: Weekly/ T: 1 hour/ R: Individual Assists in distributing a listing of publications and videos available from the Florida Cleft and Craniofacial network to families, CMS, birthing hospitals and other health care facilities.

F: Monthly/ T: 1 hour/ R: Individual Assists in the coordination of craniofacial events, including but not limited to; CFA, FCPA, ACPA, etc.

F: Daily/ T: 2 hours/ R: Shared Prepares mailings and drafts for the craniofacial center.

F: Monthly/ T: 8 hours/ R: Individual Coordinates the Craniofacial clinics; flow, set up and organization.

Contacts other hospitals, departments, team members, patients and others; oversees the sequence of task completion.

F: Weekly/ T: 5 hours/ R: Individual Responsible for preparing for the State audit and contract review by setting agendas, organizing binders with pertinent information, and printing contracts.

F: Annual/ T: 8 hours/ R: Individual Responsible for gathering and submitting provider deliverables to the State of Florida Children s Medical services as per contract.

F: Quarterly/ T: 3 hours/ R: Shared Creates all PO for supplies and tracks requisitions weekly through the process.

Contacts vendors and internal resources to expedite process.

F: Weekly/ T: 4 Hours/ R:Individual Creates and completes CMS reporting for Leadership review.

Tracks all volume, new follow up, newborn, prenatal activities, genetic counseling, camp activities and educational outreach.

F: Weekly/ T: 5 hours/ R: Individual Responsible to lead any documentation requirements for CMS with appropriate patient population reporting characteristics.

F: Quarterly/ T: 10 hours/ R: Individual Participates in Lean initiative to improve processes for opportunities to deliver higher quality, cost effective care, with greater customer service,&which impact can be measured by way of metrics.

F: Monthly/ T: 1.

5 hours/ R: Individual Utilizes Lean methodology to improve the family experience in the Brain Institute.

Actively involved in continuously improving the patient experience and in the service recovery process.

F: Daily/ T: 6 hours/ R: Individual Common Duties: Maintains accountability by ensuring compliance thru timely completion of licensures, certifications, all competencies, health requirements (PPD, N95, Flu, etc.

), and education requirements.

F: Semi-Annual / T: 2 hours/ R: Individual Maintains accountability and timekeeping expectations as outlined by MCHS Timekeeping and Attendance policy&procedures.

Ensures behavior is compliant with communication standards.

F: Daily /T: 2 hours / R: Individual Ensures that behavior meets/exceeds Targeted Service Scores as measured by the Service Index and/or the internal departmental Service survey.
