Job Summary:  Brief description of Job Function (why it exists).

Coordinates and conducts administrative support for the execution of assigned program, including development, submission, and posting of CDRLs, filing of contract documentation, maintenance of conformed contract, maintaining common collaboration electronic workspaces, tracking subcontractor costs, coding charge numbers for subcontract invoices, providing MS Project and Basis of Estimate support for Engineering Change Proposals, and Contractor Manpower Reporting.

Essential Duties and Responsibilities:  List up to 10 primary duties for position, not ancillary responsibilities.

  • With fundamental knowledge of contractual requirements, coordinate the development and submission of CDRLs.
  • Maintain tracking and online storage of all contractual documentation, including contract modifications, CDRLs, PCOLs, and other documentation.
  • Maintain postings to and control of online collaboration workspaces.
  • Using MS Excel and Project, track subcontractor cost and schedule compliance.
  • Assign appropriate charge codes to received subcontractor invoices.
  • Assist Program Management and Engineering Staff in developing project schedules and BOEs using MS Project and Excel.
  • Prepare and submit the annual Contractor Manpower Reporting updates.
  • Coordinate travel arrangements for program personnel.
  • Support pricing of material and services for ECPs.
  • Assist in development of program briefs by developing MS PowerPoint presentations.

Non-Essential Duties and Responsibilities:  Assigned, but not primary reason position exists (List up to 3).

  • Maintain Technical Performance Measurements
  • Support Business Development in vendor and opportunity research as requested.
  • All other duties as assigned.

Education / Experience:

B.A. or B.S. Ability to research and understand contractual requirements, draft cogent written responses to Government communications, maintain professional oral and written communication with customer and subcontractors. Must be able to work independently with limited supervision.

Computer Skills:

Entry Level:  To perform this job successfully, an individual should have knowledge of MS Office products including word processing, spreadsheet, and presentation software, use the Internet, and use database software for data entry at entry level proficiency to create simple documents or make simple structured entries.

Intermediate Level: To perform this job successfully, an individual should have knowledge of MS Office products including word processing, spreadsheet, and presentation software, use the Internet, and use database software at intermediate level of proficiency to create and maintain more complex documents and data entries.  May also work with databases to enter data for reporting through standard or ad hoc reports such as PayChex, Human Resources, Deltek, or other operations software applications.  Must be able to audit, maintain, and create reports through intuitive report writing tools.

Advanced Level: To perform this job successfully, an individual should have knowledge of MS Office products including word processing, spreadsheet, presentation, and project management software, use the Internet, and use database software to create and maintain more complex documents and data entries. At advanced level of proficiency; create diverse standalone or integrated documents or reports with varying complexities to support program operations, financial reporting, human resources reporting and analysis, or other required business documents as needed. May make presentations and explain data contained in documents or reports to management.
