POSITION OBJECTIVE
The Accounts Receivable Clerk is organized with the responsibility for processing accurate billing and tracking of wholesalers, Corporate/Third party and groups. S/he is responsible for collections,
i.e., preparing monthly credit meeting reports and sending the paperwork for accounts determined during the credit meeting to be sent to company we utilize. S/he is responsible for answering all inquiries concerning billing for wholesalers and groups. All aspects of duties are performed in accordance with Salamander Hotel and Resorts Operating Policies and Procedures.

ESSENTIAL JOB FUNTIONS

Generic Essentials:
• Become fully knowledgeable in all related software systems including SMS, Jonas, Club,
and Shift4.
• Strong understanding of Wholesalers and group program requirements.
• Maintain confidentiality of all proprietary accounting and membership information.
• Become a resource to the Credit Manager with regards to groups and credit
• Track, research, and respond to merchants deductions (charge backs) from guests, members, and customers’ payments. Also responsible for the collections of wholesalers/group accounts, check out with balances and members.
• Prioritize job functions in order to meet deadlines
• Handle all guest / wholesaler/ group inquiries in a timely professional manner.
• Maintain and store records of all transactions in accordance with Salamander record retention standards, ensuring proper practice of PCI compliance throughout the accounting department, resort employees, and contracted vendors.
• Ensure proper billing, accuracy and payment for all accounts
• Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
• Maintain regular attendance in compliance with Salamander Hotel and Resorts Standards, as required by scheduling which will vary according to the needs of the hotel
• Maintain high standards of personal appearance and grooming, which include wearing the proper attire and nametag when working
• Comply at all times with Salamander Hotel and Resorts Standards and regulations to encourage safe and efficient hotel operations
• Maintain a warm and friendly demeanor at all times

Specific Essentials:
• Daily/weekly/monthly processing of wholesalers, groups and Third party and corporate accounts.
• Answers all inquiries from Third party, Managers, and corporate entities within 24 business hours.
• Prepare package of reports for Monthly Credit Meeting.
• Prepares paperwork to send to collections once approved.
• Keep management aware of any unusual operation or financial occurrences and/or significant deviations from policies and procedures.
• Maximize productivity, identify problem areas, and assist in finding and implementing solutions.
• Attend meetings/training as required by management
• Perform other duties as requested by management

EDUCATION/EXPERIENCE

• A minimum of 5 years of hospitality related A/R experience and at least 2-3 years in an Accounts Receivable position preferred.
• Proficient in the use of MS Office products (word processing, spreadsheet application) and accounting software.
• Knowledge of Generally Accepted Accounting and bookkeeping principles and procedures.
• High School graduate or G.E.D. equivalent.

• Strong professional communication skills to communicate with members, owners, and service professionals verbal and written
• Accounting: billing, collections, disputes, customer service.
• Be able to work in a fast paced environment while executing superb attention to detail
• Flexible and long hours sometimes required i.e. weekends, early/late days
• Sedentary work – Exerting up to 25 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects
• Maintain harmonious and professional relationship with all departments
