Position Summary:
The Administrative Assistant performs a wide range of complex administrative and operational assistance and provides support to the office of Property Management.
Essential Job Functions:
- Respond to departmental incoming calls, e-mails, and general correspondence
- Maintain electronic and hard files of commercial & residential property records, including correspondence, LOIs, COIs and leases, for example.
- Track & update residential leasing renewals, manage deposit refunds
- Manage parking and building card access program for commercial tenants
- Program cards, doors & elevator access
- Input utility chargebacks
- Reconcile department purchasing card
- Process departmental Invoices through Banner and/ or Yardi
- Prepare leasing paperwork for residential tenants
- Working hand in hand with Property Accountant on invoices, certificates of insurance, etc.
- Place stock & custodial supply orders
- Manage social networking
- Update department website and department forms as needed
- Maintain key inventories and other departmental logs on RShare
- Manage work study position
- Perform related duties as assigned
Minimum Qualifications:
- Associates Degree preferred
- 2-3 years of equivalent experience in real estate or property management highly preferred
- Experience providing administrative and operations support
- Proficiency with computers and desktop software (MS Office, Cascade, Outlook, SharePoint, Yardi Explorer, Banner, R-Card)
- Experience maintaining web pages and social media preferred
- Excellent written and oral communication skills and strong customer service orientation
- Strong organizational and analytical skills, detail-oriented, time management skills, ability to set proprieties and manage time effectively
- Ability to work independently and make decisions that reflect sound judgment
- Ability to maintain composure and communicate tactfully and professionally when dealing with tenants and the community
Work Environment:
- Office environment that is highly interactive, and very confidential
- Extremely fast-paced at times, and very time sensitive
