Under the supervision of the Assistant Director of Payroll, this position is responsible for payroll records and the payment of approximately 11,000+ employees and an average $18 million biweekly payroll. In addition to payroll processing the UCF Payroll team is responsible for processing time and labor, taxation, record retention requirements and metrics.

The duties of the position include:

  • Assist the Assistant Director of Payroll by establishing efficient and effective procedures to ensure the university payroll is uninterrupted and confirmed biweekly. Create off-cycle check transactions and prints checks, as necessary.
  • Track metrics on overpayment audits and keying errors and develops specific external department and Payroll team training recommendations to reduce errors for the Assistant Director of Payroll to address.
  • Serve as a back-up to review the bank reports for Automated Clearing House (ACH) returns and submits reversals and stop payment requests.
  • Responsible for accurate leave balances, as well as annual leave processes related to personal holidays and medical residents, etc.
  • Responsible for processing payments of a sensitive nature (i.e. beneficiary or settlement). Signs off on overpayment audits. Administer the Twelve Month Payment Option program.
  • Responsible for communicating with HR Accounting and other related offices to make the quarterly payments to the President and Provost. Serve as a back-up to the HR Accounting Manager in the verification of vouchers in Accounts Payable for payroll and benefit vendors, garnishment payments, and recording of tax payments.
  • Responsible for inputting the data used by Finance & Accounting and Global Strategies, to create the 1042 file uploaded into the IRS FIRE system for the non-resident alien employees and scholarship recipients for the calendar year. Distributes the 1042-S forms to recipients. Files the Unemployment Tax Report (UTC-6 quarterly), Multiple Work-site Report (quarterly), Florida New Hire File (biweekly), Government Report (annually), as well as other state/government required reports. Supplies information to other departments that are responsible for the completion of the Form 990.
  • With the Assistant Director of Payroll and an HRIS team member, perform updates in PeopleSoft related to Year-End (pay calendars, schedules, tax updates, FLSA calendars, W-2 setup, 1042-S setup, etc.).

Minimum Qualifications:

Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of appropriate experience.

Preferred Qualifications:

  • Prefer experience and/or education in accounting with a focus on payroll/tax administration in a higher education setting.
  • Certified Payroll Professional (CPP) certification and PeopleSoft/Oracle experience is a plus.
