Executive Admin. $18-$20 per Hour
We are a large publicly traded international company in the aviation industry. We are currently seeking an Executive Assistant to directly serve the Director of our Orlando facility.
The individual holding this position will do this by managing the executives’ schedules, travel, expense reporting, and meeting arrangements; drafting correspondence, presentation documents, and communications to the teams and the organization. The work requires independent judgment and analysis involving situations with frequent access to confidential and highly complex information. The ability to collaborate and partner with associates at all levels of the organization will is essential. This person must become knowledgeable of corporate policy and will often be called upon to interpret and communicate if necessary. This position is very visible to all levels within the company. The successful candidate will be able to consistently demonstrate a high level of professionalism, work collaboratively and with a variety of external and internal contacts.
CORE JOB RESPONSIBILITIES:
· Strong Executive Assistant experience
· Administrative and logistical support including schedules, agendas, communications, correspondence and presentations
· Responsible to handle extremely confidential material relevant to company operations including phone calls, reports, presentations, meetings and other related items
· Collaborates with various staff and departments in preparing special projects and scheduling and organizing meetings for the executive leaders
· Excellent interpersonal and writing skills with the ability to proof Director’s documents.
· Excellent time management skills
· Has a sense of urgency
REQUIREMENTS FOR CONSIDERATION:
· 2+ yrs. relevant work experience or equivalent combination of education and relevant work experience
· Proficient in Outlook, Word, Excel
· Must be able to work independently with minimal supervision, ability to prioritize heavy workloads and multiple tasks
· Must possess good judgment and decision-making skills
· Excellent written and verbal communication skills
· Professionalism and confidentiality required
· Strong organizational skills required
· Experience with calendaring, organizing meetings and making travel arrangements
· Strong analytical, organizational and project management skills.
· Excellent communication and interpersonal skills and experience interacting with high profile executives and clients/vendors
· Positive and professional demeanor
· Takes a problem solving and helpful approach in dealing with others
· Ability to handle the highest level of confidential information
