Walk-in Clinic Patient Care Coordinator
POSITION: Patient Care Coordinator
RESPONSIBLE TO: Branch Manager
JOB SUMMARY: Responsible for overseeing the physician’s practice. Act as liaison between physician,
patient and supporting staff.
WORK HOURS:
- Monday-Thursday: 7:30am – 4:30pm Monday-Friday (40 hours)
EDUCATIONAL REQUIREMENTS:
- High school diploma required
QUALIFICATIONS AND EXPERIENCE:
- Two plus years of work experience in a physician practice required
- Proficient using email and word processing software
- Knowledge of practice management and electronic health record software
- Ability to perform multiple and diverse tasks simultaneously
- Strong written and verbal communication skills and cheerful attitude
- Neat, professional appearance
- Ability to handle problems and resolve conflicts
- Comfortable performing quantitative and analytical duties
- Ability to perform well in stressful situations
- Medical assistant experience a plus
Responsibilities include, but are not limited to, the following:
Clinical Support
- Assists Medical Assistant with greeting patient and escorting them from waiting room to exam room as needed
- Schedules follow-up appointment, ancillary appointments, and Transfer of Care appointments
- Handles Point of Service collections to include determining patient’s out-of-pocket responsibility and reviewing payment options with patient
- Offer additional coverage for the front desk on an as needed basis. Includes but is not limited to checking in patients, scheduling appointments, reviewing charts for upcoming appointments.
General Patient Care
- Answers Team phone during business hours
- Responsible for all incoming patient telephone calls; ensures action taken is document appropriately in the patient chart
- Responsible for all incoming inquiries, both written and verbal, from patients and health insurance carriers
- Processes correspondence related to the physician’s practice (ie: disability forms, FLMA forms, contributing cause letters, etc.)
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Assists with verifying insurance for upcoming appointments
General Administration
- Maintains detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
- Attends all regular staff meetings
- Completes all other duties as assigned by the Branch Manager

Typical Physical Demands
Work may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Position also requires viewing computer screens and typing for long periods of time, and working in an environment which may be stressful. Position could require occasional travel.
