Position: Business/Office Supervisor

Status: Full-time; Non-exempt

Camp Description

OVERVIEW

Under the supervision of the Finance Director and Camp Director, the Office/Business Supervisor is responsible for ensuring accuracy and timely processing of financial, administrative, financial assistance and grant reporting data and information in support of the year round operation of the YMCA of Central Florida Camp Wewa Outdoor Center.

JOB RESPONSIBILITIES

•        Oversee the daily operation of the YMCA Camp Wewa office and create an efficient, organized and professional environment.

•        Perform daily cash deposits and daily cash envelope reconciliations.

•        Work with Finance Director to control department payroll and purchasing costs within the budget and financial guidelines.

•        Establish and maintain collections process to minimize delinquent account losses. Assist in identifying and managing delinquent membership and program accounts.

•        Contact parents with outstanding payments and past due accounts by phone, mail and email to maximize collections. Collect and enter payments to the Salesforce Account accounts and update bank account EFT information if applicable.

•        Act as liaison to the Finance department on accounting and financial issues regarding program participants’ accounts and payments.

•        Assist leadership team in grant management, collection of required grant documents, and grant reporting.

•        Reviews scholarship applications and supporting documents from all potential applicants, apply financial aid information to camper accounts.

•        Communicate deadlines with all stakeholders to ensure timely receipt and completion of required reports and documentation in accordance with regulations, terms, and conditions of the grants.

•        Provide guidance to staff on policies and procedures as they relate to finance, grant reporting/administration and business office protocols.

•        Assist in preparation of internal and external financial reporting as related to Camp Wewa.

•        Complete project management and special assignments for Camp Director and Finance department as identified.

•        Contract groups for facility rentals as well as handle all payments associated with use.

•        Articulate the camp operation to prospective campers, parents or rental groups. Give camp tours as needed.

•        Oversee seasonal office staff during the summer camp operation.

•        Attend all staff meetings and trainings as required.

•        Promote and represent the mission and core values of the YMCA of Central Florida in the Association.

JOB REQUIREMENTS

To be successful, you must meet education, training and experience requirements, and you must be able to demonstrate some critical knowledge, skills, and abilities:

EDUCATION, TRAINING AND EXPERIENCE

•        High School graduate or equivalent required. Associates degree or equivalent in accounting, finance, or related field preferred. 

•        Minimum 3 years of experience in assisting accounting, office, or business operations required.

•        Previous Business Assistant / Office Manager experience is desired.

•        Microsoft Office proficiency required, including a high level of skill in Excel.

•        Oracle and Sales Force experience a plus.

•        Must be willing to regularly work flexible hours, weekends and holidays.

•        Must be willing to travel within Central Florida. Must have valid Florida driver license.

•        Read, write and communicate using English language sufficient to perform job functions.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

The physical activities of this position include:  stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, and repetitive motions.  Talking is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels, with or without correction.

The employee must be able to perform light work: exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.

The employee is required to have close visual acuity to perform an activity such as:  preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading. The employee is required to have visual acuity to operate motor vehicles.

The employee is not substantially exposed to adverse environmental conditions.
