Professional Services Manager
POSITION: Professional Services Manager
RESPONSIBLE TO: Director of Operations
JOB SUMMARY: Oversee the daily operations of the Professional Services department ensuring tasks are completed effectively and efficiently including, but not limited to: schedule Worker’s Comp and Legal appointments (Worker’s Comp Injury cases, Personal Injury cases, Trials, Custodial Depositions, Independent Medical Examinations, and Compulsory Medical Examinations), respond to Worker’s Comp and Legal correspondence, obtain and prepare documents related to Worker’s Comp and Legal cases, and negotiate terms of payment for legal and Worker’s Comp cases.
Oversee training of staff, monitor progress and ensure successful understanding of job responsibilities. Represent Professional Services to external audiences through various marketing activities.
EDUCATIONAL REQUIREMENTS:
- High school diploma required
- Bachelor’s degree preferred
QUALIFICATIONS AND EXPERIENCE:
- At least five years of related work experience required (medical, worker’s compensation, legal)
- 3 to 5 years supervisory experience required
- Proficient using email and word processing software
- Knowledge of practice management and electronic health record software
- Ability to perform multiple and diverse tasks simultaneously
- Neat, professional appearance
- Strong written and verbal communication skills and cheerful attitude
- Ability to identify problems, problem solve and resolve conflicts
- Comfortable performing quantitative and analytical duties
- Ability to perform well in stressful situations
Responsibilities include, but are not limited to, the following:
General Administration
- Maintain detailed knowledge of Florida laws and statues encompassing Worker’s Compensation claims, Personal Injury cases, Trials, Custodial Depositions, Independent Medical Examinations, and Compulsory Medical Examinations
- Establish, negotiate and maintain terms of payment for all professional services at Orlando Orthopaedic Center
- Maintain and develop Orlando Orthopaedic Center guidelines and fee schedules revolving around Professional Services
- Ensure inquiries and requests from Worker’s Compensation carriers and Attorneys’ offices are being handled professionally and within a timely manner
- Schedule Worker’s Comp and Legal appointments while adhering to Orlando Orthopaedic Center’s guidelines
- Ensure documents have been obtained, prepared, and/or completed accordingly for Worker’s Comp appointments, Legal appointments, and trials
- Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
- Complete all other duties as assigned by the Director of Operations
Business Relations
- Build and maintain relationships with Worker’s Compensation carriers and local Attorneys
- Develop new legal business relationships and services
- Schedule, coordinate, and attend various Legal and Worker’s Compensation marketing events
Clinical / Office Support
- Be proficient in all job functions within the department and fill in when needed
- Regularly assist Professional Services staff with responsibilities to ensure assigned tasks are completed in a timely manner
- Respond to and address employee questions; escalate to upper management for resolution when needed
- Coordinate Attorney or Workers Compensation expert medical reviews
- Ensure all conferences and depositions for the upcoming week are properly scheduled and all necessary medical records are present
- Coordinate physician appearance to testify at Trial
- Respond to customer complaints and escalate to upper management when necessary
- Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice
Personnel
- Hire, train, discipline, and terminate personnel who work in the Professional Services department
- Conduct performance evaluations and approve merit increases for all branch office staff
- Develop and implement a Professional Services training program for new employees
- Manage office staff schedules, ensuring employee posts are filled at all times
- Develop and implement a process to spot check work on a regular basis to identify areas in need of improvement

Typical Physical Demands
Position requires extended sitting, some standing, bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Employee will work under stressful conditions, and work irregular hours.
Typical Working Conditions
Normal office environment. Occasional evening or weekend work.
