MARKETING PROJECT SPECIALIST

Position Summary:

We are seeking a dynamic and organized team player as the Marketing Project Specialist to join our expanding Association Brand & Cause Marketing department, located  near Downtown Orlando, Florida. This position requires a hybrid of essential skills; including heavily in project management, organization, excellent communication and interpersonal skills, with an eye for detail and a general understanding of both digital and print creative.

Job Responsibilities:

  1. Collaborate with the Marketing Team to deliver day-to-day brand management through Association-driven advertising, collateral and promotional materials, event-related materials, website development, and social media management.
  2. Key strategy liaison between agencies, senior leadership, committee members, operations, and vendors to maintain integrated project schedules
  3. Collaborate with the Marketing Team to establish and meet deadlines for the creative development, production, and delivery of the visual and voice elements of membership, program and financial development campaigns, Association-wide communications and events, and Family Center marketing programs.
  4. Work directly with department teams to triage, understand, and prioritize multiple, simultaneous project requests, gather requirements, lead project kick off, clarify strategic objectives, determine deliverables and delivery dates, plan resources (both internal and external) and budget, and develop a clear and actionable project plan efficiently and effectively addressing any roadblocks in time sensitive situations.
  5. Lead weekly team meetings, facilitate meetings between teams, and serve as the day-to-day point-of-contact for all project related tasks, proactively managing team expectations and providing clear direction throughout a project until final delivery.
  6. Manage creative approval process and project workflow, providing needed visibility to the Marketing Team. Identify gaps and recommend enhancements related to new and/or existing projects and workflows based on broad view of the department’s work.
  7. Build strong working relationships with the Marketing, Association, and Family Center team members, establishing a role as a trusted resource and advisor. Learn and understand respective account teams' business areas and partner with them to achieve their KPIs and support business objectives.
  8. Develop processes, set metrics, and provide ongoing reporting of effectiveness of marketing and communications strategies. Recommend and implement changes as needed and required.
  9. Become a subject matter expert for the Association-wide project management system (Wrike), supporting the administration and implementation across cross-functional teams. Evaluate, update, and provide feedback on project management tool(s).
  10. Identify and employ best practices with agencies in systems and technology to support effective marketing and communications initiatives.
  11. Maintain, catalog and track marketing equipment in the inventory tracking system.
  12. Assist in organizing and storing assets in digital asset management system.
  13. Coordinate and aid in the facilitation of the monthly Brand & Cause Stewardship Committee meetings
  14. Promote and represent the mission and core values of the YMCA of Central Florida.
  15. All other duties assigned by Management.

Education, Training and Experience:

  1. Bachelor’s degree required in marketing, communications or related field of study.
  2. Minimum 3 years of progressively responsible experience in managing marketing planning, project coordination and fulfillment for a medium to large organization required.
  3. Strong attention to detail and ability to manage multiple demands simultaneously in fast-paced environment.
  4. Excellent communication, organizational, and problem-solving abilities.
  5. Thorough understanding of creative workflow processes and project lifecycle.
  6. Strong working knowledge of print production processes and techniques (artwork, pre-press, printing), digital development and production processes and techniques (web, mobile, social, etc.), and video production processes and techniques (photo/film shoot, AV editing and/or motion graphics development.)
  7. Experience with in-house creative agency or marketing/advertising is strongly preferred.
  8. Basic understanding of Adobe CC software (Photoshop, InDesign, Illustrator), a plus.
  9. Experience in CRM or similar programs in database management and fulfillment.
  10. Proven expertise in marketing budgeting, production and project management.
  11. Experience working with creative talent.
  12. Demonstrated ability to interface at all levels of an organization, committees, and partners.
  13. Microsoft Office proficiency required, including, but not limited to, a high level of skill in Outlook, Word, Excel and PowerPoint.
  14. Experience in project management software such as Basecamp, Asana or Wrike.
  15. Experience in administering digital asset management tool.
