JOB SUMMARY: Entry level position handling and processing all patient incoming inquiries. Organize and process incoming mail and faxes.
EDUCATIONAL REQUIREMENTS:
- High school diploma required
QUALIFICATIONS AND EXPERIENCE:
- Detail oriented
- Basic knowledge of Medical Records preferred
- Ability to organize tasks to ensure timely completion of assigned work
- Ability to perform multiple and diverse tasks simultaneously
- Ability to perform well in stressful situations
- Ability to accurately sort and distribute mail/faxes
- Ability to read and understand written and oral instructions
- Ability to communicate effectively (both written and oral)
Responsibilities include, but are not limited to, the following:
- Sort, scan, upload, and distribute incoming mail, inter-office mail, and/or faxes accurately (per company mail guidelines) within 24 hours of receipt
- Pick up and deliver any mail, packages, and other correspondence from the various departments at the main office on a daily basis.
- Obtain missing reports (i.e. Diagnostic Reports, Pain Procedure Reports, Operative Reports) as necessary
- Assist with scanning of Medical Records into the EHR
- Assist with monitoring/managing the mail team’s emails/messages, processing requests in order of priority
- Process outgoing mail, complying with postal service and delivery service requirements
- Maintain the postage meter by monitoring balance, refilling postage as necessary
- Respond to mail team phone calls
General Administration
- Maintain detailed knowledge of electronic health record and other computer software as it relates to job functions
- Completes all other duties as assigned by the Medical Records Supervisor or upper management
- Work hours coincide with Orlando Orthopaedic Center’s operating hours (8am to 5pm)

Typical Physical Demands
Position requires extended sitting, continuous use of keyboard. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Employee will work under stressful conditions. Employee will occasionally be asked to lift and carry items weighing up to 30 pounds.
Typical Working Conditions
Normal office environment. Occasional evening or weekend work.
