Experience Kissimmee is the official tourism authority for the Kissimmee destination and Osceola County, Florida.  We promote the destination domestically and around the world to potential leisure, business, and sports travelers.  Our team develops and implements sales, marketing and communications programs that encourage more than 9 million overnight guests annually.  Our goal is to further our popular Central Florida destination’s reputation as being a top vacation spot by positioning Kissimmee as perfectly Whelmed – the perfect balance of thrilling adventures and relaxing moments.

Our Marketing and sales programs and campaigns highlight Kissimmee’s easy access to legendary theme parks and immersive outdoor experiences.  Visitors can stay their way at more than 70,000 accommodations options, including 50,000 private vacation homes.

We work directly with our 900+ local Industry Partners to tell the Kissimmee story and all there is to see and do in this sunny location. 

We are currently seeking a Sr. Production Coordinator to support Experience Kissimmee’s marketing and communications strategies towards its mission to drive tourism to the Kissimmee destination.

This role works with internal teams to guide projects and video productions through the established production process from concept to delivery of the final product.  Serves as the liaison between the Content Studio and other internal departments and with external partners and vendors to ensure projects and video productions are executed according to established specifications, timelines, and budgets. 

This position will telecommute.  Occasionally in-person meetings will be required at Experience Kissimmee’s office in Kissimmee, FL.  Due to the nature of this position, frequent local travel throughout the Kissimmee/Osceola County destination is expected. Therefore, candidates are expected to live in Central Florida and have a clean driving record.

Major Responsibilities…

Coordination of the production of deliverables including digital assets, printed materials, and promotional products:

  • Works with Sr. Manager of Brand and Content Studio to coordinate internal and external resources for successful execution of projects.
  • Procure estimates and quotes for production of creative jobs from suppliers and freelancers, vendors, and agencies.
  • Assist Content Lead and Creative Lead with gathering project needs, specifications, timelines, and budgets from internal departments, as needed.
  • Assist Content Lead and Creative Lead with routing materials for review and approval by internal stakeholders, keep same informed about status of jobs in production per Leads direction.
  • Work with print vendors to obtain quotes, production schedules, and delivery of materials to distribution vendor.
  • Coordinate the development, design, approval, production, and distribution of promotional products for the organization in partnership with the Content Studio and the departments requesting items.  Keep up with promotional product trends by attending local trade shows.
  • Manage all open and archive tasks within the Wrike project management system.  Responsible for training users and creating SOPs.
  • Review weekly production schedule with Sr. Manager of Brand and Content Studio and CMO.
  • Maintain a solid understanding of the organization’s brand guidelines. 

Coordination of the production of video and photography projects:

  • Facilitate all video pre-production for videos produced internally and by 3rd party production companies, to include:
  • Build video production timelines
  • Coordinate storyboard development and approval
  • Coordinate script development and approval
  • Assume point-of-contact role for all parties involved in each shoot for securing locations, permits, logistics and follow-up (production company, talent agency, staging company, partner locations, vacation home rental property companies, etc.)
  • Organize and coordinate approval for talent selection
  • Organize and coordinate wardrobe and props needed
  • Organize and attend location scouting sessions
  • Troubleshoot and strategize backup plans in case of emergency shoot date challenges (location becomes unavailable, talent pulls out, etc.)
  • Produce call-sheets and line-schedules for shoot days
  • Attend all video and photography productions/shoots to provide on-site facilitation of production logistics and on-site troubleshooting as the need arises. 

Required Education and Experience:

  • Minimum Associates degree in marketing, advertising, public relations, or related field. Will substitute experience for education.
  • 3-4 years of experience in assisting with organizing the production of videos, photography shoots, being on-sit during shoots and development and production of marketing and sales materials.
  • 1-2 years of experience working daily with a project management/workflow digital platform.
  • Excellent organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and balance multiple projects simultaneously.
  • Comfortable with web-based project management tools and collaboration technologies.
  • Results driven, proactive, and able to work autonomously.
  • Ability to work in a fast-paced environment.
  •  Problem solving attitude.
  •  Flexible, change embracing in rapidly evolving work and market environment.
  •  Ability to relate work with a wide variety of stakeholders.
